Hi all. We have the need to generate a guest pass for guests staying at one of our properties. We send the pass to the guest as a PNG or JPG file. They then show the Guest Pass to the restaurant staff and others, allowing them to enjoy their complimentary breakfast buffet (it’s amazing!) and access other benefits at this luxury location.

Today, I have the Guest Pass template in Google Slides and manually copy and paste information from Hospitable about the booking over to the template. I need to move over:

Guest Name

Check-in Date

Check-out Date

Number in Party

I would LOVE to do this programmatically! Manual copy and pasting is time-consuming and error-prone. I want the pass to “look nice,” so not just plain text.

So, the question is: Does anyone know of a way to do this programmatically from Hospitable? I was trying to see how a simple integration, e.g., sending data as variables in a URL, could achieve something like this with Google Slides, Canva, etc.

The desired outcome is a guest pass with a visually appealing appearance that is programmatically generated from a guest booking.

Ideally, I could have a pre-programmed Hopsitable Guest Experience Message Rule to take this action and send this with zero human intervention.

Hi ​@SteveBarsh! What a cool guest experience you’ve created, super interesting!

It may be possible to do this with our Zapier integration.The google slides app in Zapier does have the ability to create a Presentation from Template and allow template variables to be passed in. The trigger could be a reservation created/updated and you could then potentially get this to send back through Hospitable as an action.

Potentially something like this could work:

  1. Zapier Trigger: New booking in Hospitable.
  2. Zapier Action: Populate Google Slides template.
  3. Zapier Action: Export slide as PNG.
  4. Zapier Action: Upload PNG to Google Drive / Dropbox. Maybe even Notion published page
  5. Hospitable: Message Rule triggered by booking, sending link to the pass.

I tried to understand if Slides (or Canva) would have link to a specific page, to avoid download / upload, but it seems that is not possible. Alternative is to open a new document whenever there is a new booking.

I haven't tried any of this, and I'm not sure if it is as smooth as it might seem, but hopefully it will help or at least spark another idea.


Thanks for the very quick and detailed reply ​@Petra Podobnik! That’s quite a clever idea. I was thinking of Zapier but my issue was timing. I did not want to “send” the pass to the guest right away (at Booking - one of the few triggers). Many times we get bookings 12 months out. We send the pass about a week before arrival. But the approach you came up may work. I’ll give it a try later this week and report back!

A guest pass generated from the guest portal sounds like a pretty cool feature. It feels a bit long-tail for us given the current roadmap for the guest portal, but let’s see how much demand there is for it: I took the liberty of creating a feature request for it.

If anyone else is interested, please upvote the feature request.
