We’re excited to share a new beta feature that makes task assignments clearer and easier for your team.

Who is it available for?

This feature is live for Beta users starting today 🎉

How does it work?

This feature only works for tasks assigned going forward — tasks that were already assigned won’t include accept/decline actions.

You’ll need a task assignment email notification rule set up.

Here’s what happens:

  1. When a teammate is assigned a task, they receive an email notification using your task assignment notification rule.

  2. At the bottom of that email, they can accept or reject the task.

  3. Once they respond, you’ll get an email letting you know whether the task was accepted or declined.

  4. You can also see the task’s status directly from the task view in the calendar.

This currently only works for email notification rules.

How do I use it?

You’ll need to have a notification rule set up for when a task is assigned to a teammate. You can find out how to create a notification rule in our help article here: https://help.hospitable.com/en/articles/4602296-how-to-create-a-notification-rule

Once the teammate has replied you’ll receive a notification via email

And you’ll be able to see the status of the task in the view modal

Hi Jake - I don’t need to create a new task assignment if I have one already correct?  Or will I need to create a new task assignment going forward to utilize the task assignment/acceptance feature?

​@aimee if you’ve already got the new task assignment notification set up and it’s set up to send notifications via email then you don’t need to change a thing!

If you don’t have one set up to be sent via email then you’ll need to create a new task assignment notification rule and make sure it’s set up as an email notification (https://help.hospitable.com/en/articles/4602296-how-to-create-a-notification-rule).

Hey Jake, is it possible to set up tasks so they default to one person but that person can also have the permissions required to be able to allocate the tasks to other people?

For example, I have a senior cleaner.  She allocates cleans as she wants to the two other cleaners.  But they are always hers to decide what to do with them. 

Does that make sense?

​@jay There are ways that you could do this in the system now. For example having your senior cleaner as a secondary user and allowing them to reassign tasks in the system with the senior cleaner being assigned to the task as a default!

It is also something we’ve spoken about as part of other operations work to have a better solution here so we are aware that this could be better! I’d also recommend sharing any feature ideas over on our feedback site here: https://feedback.hospitable.com/
