Hey everyone!

We recently released Team Notes to all Host, Pro, and Mogul users with beta features enabled. This lets you leave internal notes right inside a guest conversation — perfect for reminders, coordination, and keeping your teammates in the loop.

✨ What you can do today:

  • Switch between Reply and Note mode in your Inbox
  • Add a private note that only your team can see
  • @Mention teammates to notify them directly and keep them accountable
  • See when you’ve been mentioned with the new Mentioned tag and unread count in your Inbox
  • Let teammates catch up faster with an AI conversation summary that can be generated when they’re mentioned

👉 Not seeing Team Notes yet? Make sure you’ve enabled beta features for your team.

💡 We’d love your feedback

  • How are you using notes in your team today?
  • Do they fit into your workflow, or is there something missing that would make them more useful?

🚀 Give it a try and share your thoughts here in the community. Your feedback will help us continue improving Team Notes.

Love this but really needs for teammates to then have a “notes” link on the side of their dashboard. They click that and can see a list of notes left for them- almost like a check list of things to do. Otherwise these notes get lost very quickly if a teammate isn’t working when they are left for them.

Looks like “Mentioned” in the inbox does this now!  Not sure how I missed that. Works great!

Glad you found the Mentioned tag, @mrotman! Right now, the tags disappear automatically once a note is viewed, but I can see how having the ability to resolve or mark notes as read could be useful too. Is that what you had in mind with the checklist idea?

When leaving a note to a specific person and using “@” to find the person, why does it show up all users that I gave access to Hospitable? I know that a message shows up saying they do not have permission to view the conversation, but why show them at all. Wouldn’t it be cleaner to just show ones that have Inbox access?

Like the notes.  Is it possible to “pin” it to the bottom of the conversations, so we know we left notes and its easy to see when going through conversations.

Right now, we intentionally show all users you’ve added to Hospitable, even if they don’t have Inbox access. The reason is that we’re still exploring how people expect to use mentions. For some teams, it may feel natural to only tag teammates with Inbox access, while others might want to mention roles like cleaners or staff who aren’t normally in the conversation.

We’re not sure yet what the ideal flow should be, so this setup helps us understand real usage and avoid confusion like “why can’t I tag X?” Your feedback here is exactly what helps us figure out whether it makes more sense to limit mentions to Inbox users or try to expand it in a different way.
